1. Booking & Availability
Philly’s Studio accepts a limited number of commissions each month due to limited availability alongside my full-time role. Dates are only secured once a deposit has been received. Enquiries alone do not guarantee availability.
2. Bespoke Design Process
Each bespoke cake is individually designed based on your brief and Philly’s Studio’s creative style. Design inspiration, sketches or moodboards may be discussed prior to booking; however, final artistic interpretation remains at the discretion of Philly’s Studio.
3. Artistic Interpretation & Design Disclaimer
Every bespoke cake is handcrafted and unique. While inspiration images, sketches, digital concepts or moodboards may be used as a creative guide, final designs are subject to artistic interpretation and may vary slightly in finish, colour, floral placement, texture or decorative detail.
By placing an order, you acknowledge and accept Philly’s Studio’s creative style and understand that no design can be replicated with exact precision.
4. Style Specialisation
Philly’s Studio specialises in refined, design-led cakes with a distinct creative aesthetic. I reserve the right to decline requests that fall outside of this style, including novelty, heavily character-based, licensed or direct replica designs.
5. Pricing
Bespoke cakes start from £200, with final pricing dependent on design complexity, size, structure, decorative detail and flavour. Signature cakes are priced individually as listed.
6. Deposits & Payment
A non-refundable deposit is required to secure your booking date.
Final balances must be paid in full by the agreed date prior to collection or delivery. Failure to complete payment may result in cancellation of your order.
7. Cancellations
Deposits are non-refundable, as your date and planning time are reserved exclusively for you.
In the event of cancellation close to the event date, partial or full payment may still be required depending on work already completed, ingredients purchased or design preparation undertaken.
8. Design Changes
Minor adjustments may be possible within a reasonable timeframe. Significant design changes after booking confirmation may incur additional charges and are subject to feasibility.
9. Colour & Finish Variation
While every effort is made to match requested colour palettes, tones and finishes as closely as possible, exact shades may vary slightly due to edible mediums, lighting, ingredients and the artistic process.
10. Collection & Delivery
Clients are responsible for checking their cake at the point of collection or delivery. Once the cake has been collected or accepted, Philly’s Studio cannot be held responsible for damage caused by transport, handling, environmental conditions or storage outside of my care.
For delivered cakes, any damage concerns must be reported immediately upon receipt and supported with photographs where applicable.
11. Venue Set-Up Responsibility
Where cakes are collected, handled, stored or assembled by a venue, event coordinator or third party after delivery or handover, Philly’s Studio cannot be held responsible for any resulting damage, presentation issues or storage concerns.
12. Environmental Conditions
Buttercream, chocolate, sugar work and decorative finishes are sensitive to temperature, humidity, sunlight and environmental conditions. Philly’s Studio cannot guarantee structural integrity or finish quality where cakes are exposed to unsuitable conditions after handover.
13. Product Satisfaction & Concerns
Due to the bespoke and perishable nature of cakes, refunds are not automatically provided for subjective design preferences once a cake has been collected or delivered.
If you believe there is a genuine issue with your order (such as damage prior to handover, incorrect order fulfilment, or quality concerns), this must be reported within 24 hours and, where applicable, the product or remaining portion must be returned for inspection.
Refunds or compensation will not be considered where:
The cake has been substantially consumed
Damage occurs after collection or delivery handover
Storage or care instructions have not been followed
Concerns relate to artistic interpretation previously agreed within Philly’s Studio style
14. Storage & Consumption
All cakes should be stored and consumed according to the care instructions provided. Philly’s Studio cannot accept responsibility for quality, freshness or structural issues where these instructions have not been followed.
15. Collection Timing
Clients are expected to collect orders at the agreed time unless otherwise arranged. Significant delays may impact scheduling, freshness or product quality.
16. Allergens
My kitchen handles common allergens including (but not limited to) gluten, dairy, eggs and nuts. Full allergen information is available upon request. While every care is taken, products are prepared in a home kitchen environment and cross-contamination cannot be entirely eliminated.
17. Fresh Flowers / Non-Edible Decorations
Some cakes may include non-edible elements such as support dowels, wires, separators, artificial stems or decorative props. Clients are responsible for ensuring these are removed where advised before consumption.
18. Photography & Portfolio
Philly’s Studio reserves the right to photograph and share completed cakes for portfolio, website and social media purposes unless otherwise agreed in writing prior to the event.
19. Serving & Portion Guidance
Portion sizes are provided as guidance only and may vary depending on how the cake is cut and served.
20. Concept Visuals
Any sketches, digital concepts, AI-generated inspiration or design previews are intended as creative guides only and final edible designs may differ.
21. Force Majeure
In the unlikely event of circumstances beyond my control (including illness, emergency, equipment failure, ingredient shortages or severe disruption), Philly’s Studio will make every reasonable effort to communicate promptly and provide a fair resolution.
22. Agreement
By placing an order with Philly’s Studio, you confirm that you have read, understood and agreed to these Terms & Conditions.
